Job Title: Enterprise - Events Associate
Position
Summary:
Under the direction of the Manager, Enterprise events, the events associate is responsible for the production of a portfolio of enterprise-wide events including patient, employee appreciation events and other ad hoc events and functions. Responsibilities include event planning, logistics, on-site event supervision, RSVP tracking, project management of event collateral materials, promoting the event, vendor management and other event planning related duties. S/he will also collaborate with staff from Marketing and Communications, leadership and other City of Hope departments to expand awareness for events and to raise the profile of City of Hope.
Key Responsibilities include:
Along with the Manager, Enterprise events is responsible for the guest experience and protocol at events internally and externally.
Deliver events on time, within budget, that meet and exceed expectations. Event responsibilities include: Setting, communicating and maintaining timelines and priorities on every project; on-site logistical support, budget maintenance, invitation/notifications and collateral materials, list development, RSVP tracking, event check in procedures, event management, table seating, staffing plans and other collateral materials.
Plan, produce and coordinate small to large scale events such as ceremonies, conferences, symposia, employee appreciations, patient engagement, celebrations, open houses and other ad hoc activities.
Manage logistics and details including: technical and audio-visual set ups, script planning (writing transitions cues, production cues and script outlining) venue set up, stage plotting and set up, food and beverage, presentations and/or entertainment.
Serve as liaison with outside vendors for flowers, promotional items and other goods and services to ensure consistent quality and cost effectiveness.
Manage relationships with existing vendors including contracts, payment, performance monitoring and assist in sourcing new vendors as needed
Identify new event management software and recommend to the Enterprise-Wide Events Manager, Standardize RSVP tracking system at events.
Model the highest standards of personal and professional collaboration, integrity, respect and commitment to deliver.
Provide positive and effective customer service that supports departmental and hospital operations.
Contribute to the teamwork within and between departments and organizations.
Minimum Education and Skills Required for Consideration:
Bachelor's Degree
Experience may substitute for minimum education
Must have at least 2 years of event planning and special project experience.
Must be proficient in Microsoft Office Suite.
Must be willing to work some nights and weekends as needed based upon events schedule.
Must have excellent time management and organizational skills.
Must have professional poise and demeanor.
Must have excellent written and verbal skills.
Preferred Education and Skills:
Marketing, Communications, Tourism, or Hotel Management Degree preferred.

The check will bounce and the victim is left responsible.
